Though no two Physician recruiting efforts are exactly the same, they tend to follow similar patterns and steps. There’s a typical funnel that physicians progress through. A candidate becomes an applicant becomes a hire. An interview begets a site visit begets an offer.
Remembering where each applicant is in your funnel—and, when you’re juggling multiple searches, remembering which job they correspond to—can be tricky. Historically, you might have had to pull up previous emails with an applicant or check a master Excel sheet just to remind yourself what your next step should be.
With the rollout of PracticeLink RMS, we’ve introduced a new feature within the onTrack ATS called Stages and Steps, which helps you track applicants throughout your funnel—no more searching through emails or Excel sheets to figure out their statuses. (In addition to automatically tracking all applicants who’ve applied to your jobs through PracticeLink, the ATS allows you to manually add additional outside applicants whom you’d like to track.) The Stages and Steps feature is accessible both from a Candidate Profile (under the Jobs tab) and from the ATS Candidates page within the onTrack ATS. The former lets you see which Stage an individual applicant is in—for one or multiple jobs. The latter lets you see all applicants for a job as well as the Stage corresponding to each individual applicant.
This new Stages and Steps feature is available in all three levels of PracticeLink RMS. The Essential level includes a subset of Stages and Steps, and Expert includes advanced Stages and Steps. Recruiters at the Enterprise level receive even more customization—specifically, the option to have their Stages and Steps tailored to match their unique recruitment process. (This is in addition to the customized Recruitment Planner categories and customized fields that Enterprise-level recruiters receive.)

In addition to helping you stay on top of your candidates’ statuses and recruitment progress; the Stages and Steps feature can shed light on any trouble spots in your recruitment funnel. The visual nature of it allows you to easily see where candidates are getting stuck and then streamline these steps. This helps you improve your average time-to-hire overall. Additionally, the Stages and Steps Summary feature, also available at all three levels of PracticeLink RMS, provides analytics about each of your Stages and Steps, showing you how many applicants are in each Stage or Step (and how many jobs these applicants correspond to). This too enables you to spot clogs in your funnel, showing you which steps need to be improved if you want to speed up future recruitment efforts.
